LVGSA Policy Registration & Refund Policy La Verne Girls Softball Association (LVGSA) is committed to providing a positive and well-organized softball experience for our players and families. Registration fees help the league plan for the upcoming season and cover expenses including uniforms, equipment, fields, insurance, umpires, and other league operating costs. Refund deadline Before player assessments begin Once assessments have begun, all registration fees are non-refundable. Before assessments Written refund requests are eligible Refunds are based on the amount paid to date and may be reduced by non-refundable processing, transaction, or administrative fees. After assessments begin Registration fees are non-refundable The full registration fee remains due, including any unpaid installment payments. Registration Registration Payment Registration fees are due at the time of registration. Families may pay the registration fee in full or, when offered, select the available two-payment installment option. Players are not considered fully registered until all required registration information has been submitted and the applicable payment requirements have been met. Refund eligibility Refund Requests Before Assessments A parent or guardian may request to cancel a player’s registration and receive a refund prior to the start of player assessments for that season. All refund requests must be submitted in writing before assessments begin and may be emailed to [email protected]. Any non-refundable processing, transaction, or administrative fees incurred by LVGSA may be deducted from the refund amount. Assessment deadline No Refunds After Assessments Once player assessments have begun, all registration fees are non-refundable. This policy applies regardless of whether a player: Attends or misses assessments; Is placed on a team; Chooses to withdraw from the league; Decides not to participate after team placement; Has a scheduling conflict with practices, games, or other activities; or Becomes unable to participate for personal reasons. The assessment date serves as LVGSA’s refund deadline because, at that point, the league begins making team placement decisions and financial commitments based on registered player counts. Installments Payment Plans Choosing a payment plan does not change the refund deadline or a family’s responsibility for registration fees. If a player withdraws before assessments Any eligible refund will be based on the amount paid to date, subject to applicable non-refundable fees. If a player withdraws after assessments have begun The full registration fee remains due, including any remaining installment payments. Program availability League-Initiated Cancellations If LVGSA is unable to provide a playing opportunity for a registered player or cancels a program or division, the LVGSA Board will determine the appropriate refund or credit based on the circumstances. Board review Exceptions Any exception to this policy must be approved by the LVGSA Board of Directors. Exceptions, if granted, will be considered on a case-by-case basis and are not guaranteed.
